Before you build an ERP, map the work.

A practical starting point for planning a custom ERP: workflows, ownership, data, and a focused first release.

Start with one real transaction

Follow an order from the moment it arrives to the moment it is delivered and paid. Write down who acts, what information they need, and where that information lives. Include the awkward exceptions: a returned delivery, an amended price, or stock that does not match the register. These details are often more useful than a long list of requested screens.

Agree on the source of truth

An ERP cannot resolve conflicting definitions on its own. Decide what counts as available stock, when a sale is recognized in your workflow, and who may change a closed record. Identify the people responsible for master data such as items, customers, suppliers, and accounts. A clear owner for each record is an important part of the software design.

Separate the first release from the full vision

Choose a connected workflow that your team can actually adopt. For a dyeing operation, that might be contracts, lot tracking, and dispatch before a broader rollout. Document what the first release must do, what can follow later, and how the team will decide that it is ready. A smaller complete workflow is easier to validate than a collection of unfinished modules.

Plan the change around your people

List the spreadsheets and systems that need to be imported, and test a sample before committing to a migration date. Set aside time for training and reconciliation. Agree on a fallback plan for launch and a named person who can resolve questions. The implementation plan should explain how people will move to the new system, as well as how the software will be installed.

Bring evidence to the discovery call

Useful inputs include a sample order, a stock report, a current invoice, and a diagram of the approval process. Remove personal or confidential information before sharing examples. These materials help a development partner ask better questions and give you a more meaningful scope than a feature list alone.
